Student Records Retrieval and Archiving Systems Policy All
student records are kept confidential and are kept at the college
office. Written permission from a student is required before any
information is released to anyone other than the student him/herself.
Students
previously enrolled at RCIT may request that copies of their
transcripts be sent to them (unofficial transcripts, or directly to
another institution (official transcripts)). A fee of $10 per
transcript is charged for such services, which may take up to two weeks
to process.
It should be noted that RCIT will cooperate in full
with any law-enforcement agencies. This means that student information
will be passed on to the police if required in the investigation of a
crime. The college will also, on the presentation of a subpoena or
court order, release student information to a court of law.
RCIT
will hold on to full student records for a minimum of 7 years. The
full file will include the enrolment contract, application, student’s
transcripts and certificates, any program examination results and any
dispute/dismissal information. After 7 years the student records may
be reduced to include only the student contract and transcripts and
will then be held for a period of 55 years.
Upon request,
current and former students have free and reasonable access to their
student records. In addition to this, copies of student records will
be made available to current and former students for a reasonable cost.
